The Hepburn Library of Norfolk is seeking candidates for a part-time Principal Account Clerk. This position is responsible for handling various aspects of Public Library finances and accounts, keeping the general ledger, using Quickbooks, and preparing payroll. Along with these responsibilities the Principal Account Clerk must also prepare and analyze monthly financial statements, assist with preparation of the annual budget. Position is part time with approx. 20-30 hours per month. The schedule is flexible.
MINIMUM QUALIFICATIONS:
• Experience with QuickBooks required
• Accountant/CPA preferred but not required
• Knowledge of internal controls and experience with financial reporting and IRS form 990 filing is a plus
DUTIES:
• Responsible for accurate and timely recording of all financial transactions, timely payment of invoices, and
reconciliation of all bank accounts.
• Responsibility for preparing monthly financial reports for the Board of Trustees meetings, and coordinating preparation of the IRS Form 990.
• Reports to the Treasurer and interacts frequently with the Library Director. Also works closely with the
Board of Trustees and the Library Director in developing an annual budget.
• Follows library policies and procedures as adopted and revised by the Library Board.
• Prepares and maintains accurate financial records and reports as required by the Board of Trustees, and NYS.
• Obtains approval from the Board of Trustees to hire an accounting firm to complete the annual
audit/review. Provides assistance and documentation requested by the firm to complete an efficient and timely audit/review.
• Prepares the IRS Form 990 annually by May 15th or November 15th if an extension request is filed and completes the Comptrollers report.
• Reviews all invoices or requests for payment and prepares related checks in a timely manner, providing the Board with supporting documents for review and final approval of payments.
• Transfers funds between bank accounts as needed to maintain acceptable balances.
• Deposits checks occasionally.
• Reconciles all bank accounts monthly.
• Maintains the QuickBooks accounting system, recording all financial transactions on a timely basis.
• Provides information for insurance audits, sales tax exemption renewal filings and other requests throughout the year.

The Hepburn Library of Norfolk is a 100 year old library in Norfolk, NewYork. The Library is now accepting applications for the part time position of Library Aide. The hours are Monday from 4pm to 8pm for a total of 10 hours a week with additional hours available as substitute.
Essential duties and responsibilities include:
-with library catalog including check-out at the circulation desk,creating new patron cards, adding and updating item records, etc.
-Provide customer service-related tasks including searching print and electronic database resources to meet patrons’ informational needs,assistance with patron computer usage.
Applicants must be computer knowledgeable and have a high school diploma. This position requires strong customer service skills.
Prefer work experience in a library or library-related work environment.

The Library Maintenance Personnel will work alongside the Director, Board of Trustees and Town to insure that the Hepburn Library of Norfolk is in the best possible condition it can be. This condition includes being clean, sanitary, and being ready for patrons to enjoy and use. In addition, regular maintenance operations will be carried out as well as snow removal. The position is part time with appox. 10 hours a week in the mornings (flexible as long as snow is removed before library opens for service)
Essential duties and responsibilities include:
- Cleaning of Library spaces including vacuuming, removal of trash, etc.
- snow removal from library sidewalks and stairs
- cleaning of the library hall after events
- general maintence such as light repairs, weeding, etc.

Job Description: Library Maintenance Personnel
The Library Maintenance Personnel will work alongside the Director, Board of Trustees and Town to insure that the Hepburn Library of Norfolk is in the best possible condition it can be. This condition includes being clean, sanitary, and being ready for patrons to enjoy and use. In addition, regular maintenance operations will be carried out. Below is a list of items to be completed. This list is not complete, and at any time items may be added, changed or modified.
Outside of Building
- Snow and ice removal, salt appropriately
- Constant pickup of trash
- Check and replace outside lights
- Sweep sidewalks
- Remove weeds occasionally
Library Area
- Check daily for picking up and straightening up
- Vacuum and dust as needed-at least once a week (including book shelves)
- vacuum
- Clean entry mats as needed
- Clean restroom (replace soap, toilet paper, etc.)
- Check and clean windows as needed
- Check furniture occasionally for breaks or damage
- Empty trash
- Change light bulbs as needed
- Help with decorations and assemble Christmas tree by Dec. 1
- Check and change convector filter once a year (heat)
- Oil convector motors once a year (heat)
- Change batteries in Smoke alarms as needed
Downstairs Area
- Check daily for general tidiness
- Empty trash
- Clean restroom (replace soap, toilet paper, etc.)
- Clean stairs as needed
- Clean and mop as needed
- Wipe kitchen counters
- Check fridge for old food/dispose as necessary
- Empty dehumidifier if you see it is full
- Change batteries in Smoke alarms as needed
Boiler Room
- Keep rubbish picked up in furnace area
- Keep floor clean
General
- Inventory supplies – Advise Library Director
- Must be able to lift 50lb.
- Work under the supervision of Library Director
- General repairs-broken glass, painting, etc.
- Other duties as may be assigned
- Put plugs in AC (ceiling vents)
